Four Ways to Do It
All four are legitimate. They differ enormously in what they leave you with.
1. A business phone system app
Your business number lives in a cloud phone system; an app on the mobile is one of its endpoints. Calls to the business number ring the app, and calls you make from the app present the business number. The app is the business phone; the handset is just the hardware carrying it.
2. A carrier second number
A mobile carrier adds a second number to the same service, usually distinguishable by ringtone. It uses the carrier voice network, so it works in poor data coverage — but it is tied to that handset and that person, with no routing, hours or records behind it.
3. Dual SIM or eSIM
Two genuine mobile services on one handset: a personal SIM and a business SIM or eSIM. Clean separation, two real numbers, both on the carrier network. Also two mobile bills, no routing intelligence, and the business number still lives in one pocket.
4. Call forwarding
The published business number simply diverts to a mobile. The most common arrangement in Australia, free or nearly so, and the one that produces the four problems in the introduction — because it moves the call and nothing else.

Read the first row again, because it is the one that compounds. With forwarding, every call you make advertises your personal number. Customers save it. Six months later a meaningful share of your inbound calls arrive on a number that has no hours, no routing, no records and no way to be handed to anybody else — and no amount of publishing the business number afterwards undoes it. That is not a small inconvenience; it is the slow transfer of your business's phone identity into one person's private handset.
Which One to Choose

Setting Up the App, Step by Step
Twenty minutes for the first person, ten for everyone after. Do it in this order.

Outbound Caller ID: The Setting Everyone Misses
Inbound gets tested because it is obvious. Outbound is what quietly decides whether your business owns its phone identity, and it is checked far less often.
Check
Ring a phone you can physically look at and read what appears. Do not assume the setting took effect.
Choose
Main business number for most people. A direct line only where you genuinely want customers ringing that person forever.
Verify
Make sure the presented number is one that can actually be rung back. A number nobody can return is a lost callback.
Present the main number, not the direct line, by default
It is tempting to give everyone a direct number and present it. Resist it for most roles. A customer who stores a direct line has bound themselves to one person's availability — so when that person is on leave, on another job, or has left the business, the call goes nowhere useful and the customer concludes you are unreachable. Present the main number, and let the system decide who it reaches. Direct lines make sense for a small number of roles where the relationship genuinely is with the individual, and they should be a deliberate exception rather than the default. Also worth knowing: business calls increasingly get screened or labelled on mobiles, and a consistent, callable presented number is part of what protects your answer rates. Notifications and Battery: Why It "Doesn't Ring"
Somewhere between a third and a half of all reported faults with mobile business phone apps are one of the five things below. None of them are application faults.

Verify with a call, never with a question
Do not ask staff whether they installed the app. Ring each person's business number and confirm you hear it ring on their handset with the app closed and the phone locked. That is the only test that proves the notification path works, and it takes about thirty seconds per person. Ten minutes across a team prevents a fortnight of tickets and, more importantly, stops people forming the belief that the system is unreliable — which is far harder to reverse than the setting itself.
Hours, and Having an Off Switch
The reason most people resist putting the business number on their personal phone is not technical. It is that they suspect it will mean never being off duty. A properly configured system is the opposite: it is the first arrangement that gives the phone an off switch which is not your willpower.
Real hours, including Saturday
Configure the hours you actually trade, plus twelve months of public holidays. Outside them the app stays quiet and the caller still gets something useful.
An answer, not a mailbox
An AI answer that takes details, handles common questions and books a time converts far better than a recorded message — and it removes the guilt that keeps people answering at 9pm.
A genuine urgent path
If some calls really are urgent, define them: a stated question the caller answers, and a rotation of who is actually on call this week. Vagueness here is what makes everyone feel permanently on call.
Right to disconnect
Australian employees have a right to refuse unreasonable contact outside working hours. A system with real hours and a defined on-call rotation is how you make that workable rather than theoretical.

When It Is More Than One Person

Personal Phones, and What Happens When Someone Leaves
Most Australian small businesses run this on personal handsets, which is entirely workable provided four things are settled in advance rather than during a resignation.

The scenario worth preventing
A salesperson or a service tech spends three years giving customers their personal mobile — because outbound was never configured to present the business number. They leave. Every one of those customers now has a direct line to a competitor, in their own contacts, saved under your business's name. This is not hypothetical and it is not rare. Correctly configured outbound caller ID is, quietly, one of the more valuable business protections available for about ten minutes of setup.
Emergency Calls From a Mobile App
Three things to settle, and to tell people plainly
Register a service address and keep it current. A cloud service can be used from anywhere, which is exactly why the address held against your service matters. Update it the week you move premises, not at the next review. A business phone app is not the same as your handset's native dialler for an emergency call. Tell everyone which to use rather than leaving them to work it out under pressure — it is a thirty-second conversation at setup and an unpleasant discovery if it is never had. Have an outage plan. A mobile's own dialler works independently of your phone system and your internet, and everyone on site should know that. Data, Coverage and the Native Fallback
The one genuine technical trade-off, and it has a straightforward mitigation that many people never enable.

Six Things That Break, and the Fix
Personal number still going out
Someone is dialling from the handset's own dialler out of habit rather than from the app. Fix it by making the app the obvious choice — on the home screen, in the dock — and by checking outbound on a real call at the thirty-day mark.
"It doesn't ring"
Notifications or battery optimisation, ninety per cent of the time. Test with the app closed and the phone locked. Re-check after major OS updates, which frequently reset these settings.
Only one person ever rings
A one-person ring group. Add a second name and an overflow. This is the cheapest reliability improvement available and takes about a minute.
Answering at 9pm anyway
Hours were never configured, so there is nothing to fall back on and answering feels compulsory. Set real hours and give the caller something better than voicemail, and the habit fixes itself.
Two people sharing a login
Records become meaningless, transcripts get attributed wrongly, and access cannot be revoked individually. One account each, always.
Nobody reads the missed calls
The whole point of the system is that unanswered calls become visible. Look at the list once a week for the first month — most businesses are surprised by both the volume and the times of day.
